The old way

Still running your hall on spreadsheets and paper diaries?

Most volunteer-run venues juggle bookings in a diary, invoices in a spreadsheet, and compliance checks on sticky notes. It's stressful, error-prone, and one missed insurance renewal away from a serious problem.

Village Hall Hub solves all of this
01

Double bookings

Two hirers turn up for the same room on the same evening. Embarrassing, costly, avoidable.

02

Missed compliance

Insurance lapsed? Fire assessment overdue? You might not know until it's too late.

03

Chasing payments

Hours spent sending invoices by post, then chasing people who forgot to pay.

The new way

Every booking, in its place.

The diary, the texts and the scraps of paper settle into one calendar your whole committee can see. Click any booking to open it, just as you would in the system.

An example hall's September. Rooms are colour-coded, and today is picked out in blue.

In their own words

“Village Hall Hub has been an absolute revelation, both in how it’s transformed the way our bookings system works and in how ‘customer care’ should really work. We’ve moved from a laborious, repetitive manual system aided by emails to one in which our Bookings Secretary can do so much more in far less time. She describes the software as intuitive and easy to use and loves the way in which it just keeps offering more and more features. That’s all thanks to Wayne, who delivers the best customer service that I’ve ever known. Want a feature? He adds it. Think something could be improved? He makes it happen. Some businesses see feedback as a problem, but Wayne sees it as a source of ideas to make Village Hall Hub better. For us, being listened to develops both trust in the system (because our ideas are implemented) and loyalty (because the aftercare is so good we can’t imagine trusting anyone else with our booking system). We can’t recommend this software highly enough: it’s better than 10/10.”
Eric Davies Trustee, Gwernymynydd Village Centre, Flintshire
“Village Hall Hub has been a game changer for running our hall. It's a complete system with everything in one place: it simplifies our processes, keeps track of compliance and maintenance, and keeps our trustees properly informed for decision making and succession planning. For a treasurer, the simplicity of one integrated system for all our income and expenditure saves hours of reconciliation and report writing. The cherry on top is the amazing support.”
Sarah Peacey Treasurer, Binfield Memorial Hall, Berkshire

Just ask Hallie.

Every hall has someone who knows where everything is and who owes what. Now your booking system does too.

Ask a question the way you'd ask a person — who's in on Saturday, who hasn't paid, where do I change my prices — and Hallie looks it up and tells you. Describe a booking in a sentence and she works out every date, checks each one against your diary and flags anything that clashes. She only ever sees your hall, and she never changes a thing until you press the button. Fifteen questions a month on Standard, seventy five on Professional.

Meadowfield Village Hall

Who has not paid me?
Two invoices are outstanding, £148 in total. The WI owe £88 from 12 July, which is 24 days overdue, and Pilates with Kate owe £60 from 2 August.
Brownies want the main hall every Tuesday until Christmas, 6 til 7:30
That's 18 Tuesdays from 9 September. All clear except 23 December, which clashes with the carol concert. £22.50 a time. Shall I pencil them in?

Hallie only sees your hall, and never changes anything unless you press a button.

New · Included on every plan

The hall, in your pocket.

The diary, the money and the safety checks on your phone — and it keeps working in a hall with no signal.

Put a booking in without going home to the computer first. Record a payment while the person who handed you the cash is still standing there. Tick a safety check off in front of the thing you have just checked, rather than on the back of an envelope. Anything you record with no connection is kept on the phone and sent the moment you are back in range. Your hirers can use it too, with the link and PIN they already have — they see their own bookings and invoices and nothing of anybody else's.

On your phone

iPhone and iPad, on the App Store

Today, this week, and what is coming.
What the hall is owed, and who is overdue.
Safety checks ticked off where you do them.
Works with no signal. Sends when you are back in range.
Same sign-in, same permissions, no adverts, no tracking.

Android: built and waiting on Google, who want twelve testers signed up for a fortnight before they will release it. If your phone is a Samsung, a Pixel or most other makes, putting your name down genuinely gets it out for everybody.

Everything you need

One platform. Zero headaches.

Every feature designed for people who'd rather be running their hall than fighting with software.

Ask Hallie

Your own assistant in the corner of every screen. Ask who has not paid, or tell her the gutters were cleared this morning and she sets it up for you.

Booking Calendar

Every booking at a glance, double bookings stopped before they happen, and a live calendar on your own website so hirers can check before they ring.

Invoicing & Payments

PDF invoices in seconds, reminders that do the chasing, and card payments straight into your hall's own bank account. We never take a penny of it.

Accounts

Spending, other income, the budget, cashflow and management accounts your committee can read in five minutes, and print for the meeting.

Bank, Savings & Cash

The cash tin and the savings account kept apart from the bank, just as your treasurer does it, with every move between them recorded.

Building Safety

Fire alarm tests, electrical checks and risk assessments on one dashboard, with a reminder before anything falls overdue.

Maintenance

The gutters, the decorating and the deep clean. Mark a job done, add the cost to Spending, and it rolls on to its next date by itself.

Compliance Centre

Insurance, DBS checks and safeguarding tracked in one place, with alerts well before anything expires. Never miss a renewal again.

Frequently asked questions

Everything you need to know before getting started.

What is Martyn's Law and does it affect my village hall?
Martyn's Law (the Terrorism Protection of Premises Act 2025) requires venues with a capacity of 200 or more people to have documented public protection procedures. If your hall holds fewer than 200, you're not currently in scope - but our wizard can help you prepare as good practice. Enforcement begins approximately April 2027.
Is Village Hall Hub suitable for small community centres?
Absolutely. We're designed specifically for volunteer-run community venues of all sizes - from a single-room parish hall to a multi-room community centre. Our Community plan starts at just £12.99/month and includes everything you need to manage bookings, invoices, and basic compliance.
Can I try it before paying?
Yes! Every new venue gets a generous 30-day free trial with full Standard plan features. No credit card required. At the end of your trial, choose the plan that fits - or just walk away, no questions asked.
What types of venues can use Village Hall Hub?
Any community venue that takes bookings: village halls, community centres, church halls, scout and guide huts, sports pavilions, social clubs, memorial halls, school halls, youth clubs, arts centres, parish council rooms, and town halls.
How long does it take to get set up?
About 5 minutes. Register, add your venue details, create your rooms, and you're ready to start taking bookings. You can import existing bookings gradually - no need to do everything at once.
Can multiple people access the system?
Yes. Every plan includes team management. Invite your committee members and assign them roles - owners, admins, booking secretaries, treasurers, trustees, or read-only access. Everyone sees only what they need to.
Is my data secure?
Yes. All data is encrypted in transit (HTTPS) and at rest. Your subscription payments are processed securely by Stripe. Your venue data is backed up daily and we comply with UK GDPR requirements.
Can I cancel anytime?
Absolutely. No contracts, no hidden fees, no cancellation charges. Cancel anytime from your billing page and you'll keep access until the end of your billing period.
